FileDrop

FileDrop is a simple file transfer system.

We allow people to upload files to our servers, where they will be stored for a limited time period. Once the files have been completely uploaded, we send an email containing a download URL to the address or UH username you have specified as the recipient.

The total size of the upload must not exceed 999MB. You can use the service as many times as you like, but any single upload cannot exceed that size.

The files will be available for the time period you select. A notice containing the date and time at which the files will be expired will be displayed once the upload is completed. Also, both the confirmation email sent to you (the uploader) and the email sent by the system to your recipient will contain the expiration date and time.

Again, once the period has run, the files are irretrievably deleted.

When uploading files, select the "Require Authentication" option. If this option is selected, the UH user who is the recipient of the transfer will have to login before retrieving the files. The recipient must correspond to a UH user.

Do not use the 'No login required' option for sensitive data. This option makes your files available to anyone who discovers the download URL. Do not use this option for things like passport scans, SSNs, bank account information, Driver's license scans, and other files with sensitive information in them.

The file transfer and storage are encrypted. The FileDrop downloads for Authenticated transfers are restricted to only the sender and receiver. When the FileDrop expires, the files are irretrievably deleted.

There are, of course, a few restrictions. This service is provided to the UH community, and is not meant to be open to the general public. It also allows users affiliated with the University to share files with non-UH users. In all cases, we require at least one end of the transaction (sender or receiver, that is) to be UH staff or faculty.

The use of the service must comply with all relevant University policies, including E2.210.

Do not rely on this system as a content store or backup service. UH may expire any and all FileDrop files at any time if conditions warrant this action. In the case that we decide to prematurely expire a FileDrop, and the recipient has not yet had a chance to download the files, the sender will need to resend the files in a new FileDrop.

It's important to be aware of these restrictions, particularly the limited download time window. If you are using the service to upload files, you might want to inform the recipients that they must download the files prior to the closure of this window.

You cannot directly use the service to send files to multiple recipients. When filling in the recipient form, you must provide only a single email address or UH Username.

Please try closing and re-opening your browser, which usually corrects a number of problems with how your browser stores login information.

First off, you should be familiar with the Minimum Security Standards of the UH Data Classifications Policy (EP 2.214): University of Hawaiʻi Data Classification.

It is important to understand that you cannot use Filedrop to send Regulated data to outside recipients.

It would be ideal if the outside recipient had their own secure application such as FileDrop. If they do not, and you must send them files, the current UH recommendation is to use UH Enterprise Dropbox.
